Add a qualification

Qualifications work in two steps. First you add the type of ticket to your catalogue (a White Card, an A-grade licence, a gas ticket). Then you record which worker holds it, with its expiry and a copy of the certificate. Open it from Settings -> Qualifications.

01add it to the catalogue

1. Open Settings -> Qualifications and tap New qualification (top-right).
2. Fill in:
   • Code - a short identifier that shows on lists (e.g. YC, AGRADE, WHS).
   • Name - the full name (e.g. "Yellow card - first aid").
   • Description (optional) - any detail worth keeping.
   • Warn this many days before expiry - how far ahead you want the "expiring soon" warning. Defaults to 30.
3. Tap Add qualification.

That's the type on file. It doesn't belong to anyone yet - do that next.

02record who holds it

Open the qualification you just added, then in the Who holds this section:

1. Tap Add ticket.
2. Pick the Holder (a staff member or a subbie).
3. Enter the Reference (card #) if you have it, the Issued date, and the Expires date (required - this is what drives the warnings and the required check).
4. Add any Notes (conditions, endorsement class) and attach the proof document - a PDF or photo of the actual ticket or licence.
5. Tap Add.

Renewing a ticket

When a ticket is renewed, you don't add a new row - you edit the existing one. Open the qualification, tap Edit on the holder's row, enter the new Expires date, and attach the new certificate if there is one (leave the file alone to keep the current one). Tap Save ticket. The history stays intact and the warning clears.

Good to know

• Tradescraft warns you before a ticket expires. If the business has turned on the Compliance setting, you cannot assign a worker to a site when a required ticket is missing or expired.
• A qualification can be marked required on a site. That supplies the rule used by dispatch warnings and, when enabled, the setting that stops a booking. See Site details.
• You can't delete a qualification type while a site still requires it or a worker still holds it - remove those first.
